Location: Milan, Italy (Hybrid model – on-site presence required 2 days per week)
Type of contract: Limited contract 18 months (Temp. det. II livello CCNL Commercio)

Purpose of the Position:
Soleterre is preparing to undertake a digital transformation of its internal operations, with a primary focus on monitoring & evaluation (M&E) and project financial management systems. To lead this initiative, we are seeking a Project Manager who will oversee the successful implementation, supervision, and ongoing enhancement of this digital transformation effort.
The Project Manager will play a key role in ensuring the effectiveness and efficiency of data collection, financial reporting, and overall project management. This includes maintaining rigorous oversight of all service providers and partners involved in the project.
Working in close collaboration with internal departments and external technical partners, the Project Manager will ensure that all activities are aligned with Soleterre’s strategic objectives, meet compliance requirements, and deliver measurable outcomes.
Main Responsibilities
Supervision and Quality Assurance
Supervise and coordinate the work of external service providers to ensure timely and high-quality project implementation.
Ensure compliance with contractual agreements, verifying that all deliverables from providers meet the required technical specifications and organizational needs.
Conduct regular performance evaluations of external partners and report on progress, challenges, and necessary improvements.
Ensure that training and knowledge transfer activities conducted by providers align with organizational capacity-building goals.
Project Coordination and implementation
Oversee the development, migration, and restructuring of the M&E platform, ensuring seamless integration of data collection, project monitoring, and financial reporting systems.
Guarantee the proper implementation of project management tools, including budget forecasting, expenditure tracking, and financial compliance mechanisms.
Coordinate with programs, administrative and HR departments to facilitate the smooth adoption of new project management software and data systems.
Ensure that the work of all teams, both internal and external, is aligned with project timelines and objectives.
Financial and Data Management supervision
Supervise the financial reporting process, ensuring compliance and revision of internal policies.
Oversee the integration of financial data with M&E reporting for accurate and transparent budget control.
Ensure the implementation of financial control measures such as real-time tracking, expenditure forecasting, and compliance with funding agreements.
Guarantee the accuracy, security, and confidentiality of data collected within the M&E platform.
Team Leadership and Capacity Building
Supervise and provide guidance to internal staff involved in project management and M&E.
Ensure that all staff and relevant stakeholders are properly trained in the use of new data management and project tracking systems.
Foster a culture of accountability, efficiency, and continuous learning within the project teams.
Stakeholder and Partnership Management
Act as the main point of contact for all external service providers, ensuring smooth collaboration and high-performance delivery.
Lead negotiations with providers regarding project changes, contract modifications, and performance expectations.
Compliance and Risk Management
Ensure that all project activities adhere to national and international regulations, particularly regarding data protection and financial compliance.
Mitigate risks by proactively identifying and addressing project challenges in collaboration with external providers and internal teams.
Implement strict quality control measures for all project deliverables, ensuring high standards of execution.
Qualifications & Skills Required
Education: Bachelor’s or Master’s degree in Project Management, Business Administration, International Development, or a related field.
Experience: Minimum 5 years of experience in project supervision. M&E, or financial management within NGOs is an asset.
Technical Skills:
Strong experience in supervising service providers and ensuring contractual compliance.
Proficiency in ICT tools.
Expertise in financial planning, budget forecasting, and expenditure tracking.
Soft Skills:
Strong leadership and supervisory skills, ensuring all stakeholders meet expectations.
Ability to negotiate with and manage external providers effectively.
Strong analytical and problem-solving skills.
Excellent communication and reporting abilities.
Languages: Proficiency in Italian and English.
